Compensate overtime with time off

Let an employee take their accumulated overtime as time off, by approving their request or recording it from the admin panel.

  • For Employees · Administrators · Supervisors
  • In Clock-in app · Panel

Accepted overtime builds up a balance that the employee can spend as time off: leaving earlier, starting later or taking a day off. In Inallow this is called Compensatory time. The employee can request it from the app, or you can record it from the admin panel.

Before you start

  • The employee must have a balance: overtime requests accepted in the same year as the date on which they want to take the time off. Hours earned in one year cannot be spent in the next.
  • You need to be an administrator with permission to manage compensatory time, or the supervisor of the employee's department. A supervisor cannot approve their own compensatory time.
  • To check the balance, open Compensatory time › Employee details and look at Total pending. How it is calculated: Compensatory time.

Steps

The employee sends the request

From the clock-in app, the employee taps New request › Comp Time, chooses the date, the Number of hours and, optionally, some remarks, and taps Request. If they do not have enough balance, the app warns them with "You do not have enough overtime worked to make the request". More details in Request overtime.

Review the request

In the admin panel, go to Compensatory time › Listing. The Pending tab opens. Each card shows the Requested time:, the Requested day: and the remarks. If it is for more than 20 days ahead, widen the date range.

To see the employee's balance, click their name on the card: Employee details opens with their Total pending.

Accept or reject

Click Accept and confirm with Yes ("When you accept the compensatory time, it will be subtracted from the employee's hours balance"). If you do not want to grant it, click Reject.

If you are a supervisor, you can also respond from the app, in Team, on the compensatory time tab.

What happens next

  • The compensatory time is accepted and its hours are subtracted from the balance: in Employee details, Total pending goes down and Total compensatory time goes up. The entry appears in the table with a minus sign.
  • The day appears as Compensatory time in the employee's Calendar and in the PDF you download from there.
  • The employee sees the compensatory time and their balance (Total generated, Total Comp Time and To be Comp Time) in the calendar of their app.
  • No notifications are sent when compensatory time is accepted, rejected or recorded. If the employee requested it, tell them the answer or ask them to check the app.
