Set up public holidays

Record the year's national, regional and local public holidays for the whole company or for each centre.

  • For Administrators
  • In Panel

Use this guide when you start using Inallow and at the end of each year, to record the following year's public holidays.

Before you start

  • You need an administrator user with access to Settings.
  • Have the year's work calendar to hand: the national, regional and local public holidays of each town where you have centres.
  • If you have public holidays that only affect part of your staff, first create their centres in Centres and assign each employee their centre in Employees.
  • Bear in mind how public holidays work in Inallow:
    • Each public holiday is a specific date in a specific year. It does not repeat by itself the following year.
    • There is no option to copy or import public holidays: you create them one by one.
    • A public holiday without a centre applies to the whole company; with a centre, only to the employees of that centre.

Steps

Open the public holidays

In the admin panel, go to Settings › Holidays and click Create (+). The Create holiday window opens.

Enter the name and the date

  • Name: for example "New Year's Day".
  • Date: choose the day on the calendar. Check that the year is correct.

Decide who it applies to

Leave Center empty. The public holiday applies to all employees, whether they have a centre or not. Use it for national public holidays and for those shared by all your centres.

Save

Click Create. A confirmation message appears ("Holiday created") and the public holiday is added to the list.

Repeat with the rest of the calendar

Create the rest of the year's public holidays one by one. When you finish, sort the list by Date or by Center to check that none is missing.

For example, for a company with "Oficina Vitoria" and "Almacén Bilbao" you would create "New Year's Day" without a centre, "Fiesta local Vitoria" with the centre "Oficina Vitoria" and "Fiesta local Bilbao" with the centre "Almacén Bilbao".

To change a public holiday, click Modify (pencil) on its row, correct the details and click Modify. To delete it, click Delete in the same window. Delete does not ask for confirmation.

What happens next

  • The public holiday appears in the admin panel's Calendar and in the app calendar of each employee it applies to.
  • When someone records or requests vacation days (absence types with Vacations set to Yes), the employee's public holidays are skipped and do not deduct days.
  • On that day the employee does not get clock-in reminders.
  • Reports take the public holiday into account: in Excess hours, the day adds no expected time; in Out of hours, the time worked that day appears under Holiday hrs. See Dossiers.
  • A public holiday does not stop anyone clocking in: if someone works that day, they can clock in as usual.

All the information about this screen is in Public holidays.
