Centres

Add your company's workplaces and the area where you expect their employees to clock in.

A centre is each physical place where your team works: an office, a warehouse, a shop. Each employee can have a centre assigned, and Inallow uses it for three things:

  • Detecting clock-ins made far from the centre and marking them as an incident.
  • Applying local or regional public holidays only to the employees of that centre.
  • Filtering by centre in Reports and placing the centres on the Incidents map.

You will find this screen in Settings › Centers.

List of centres

The list shows the Name of each centre. From here you can:

  • Find a centre with Search....
  • Create a new one with the Create (+) button.
  • Open a centre with Modify (pencil) to change its details or delete it.

Create or modify a centre

Clicking Create opens the Create center window. When you modify an existing one, the window is called Modify center.

Centre details

FieldWhat to enter
NameThe centre's name, for example "Almacén Bilbao". Up to 32 characters. It cannot be repeated.
AddressStart typing the street and choose the correct address from the list of suggestions.
Other (four fields: building number, staircase, floor, door letter)Number and details of the address. In the English admin panel these four fields are all labelled Other.
Zip code, City, Province/State, CountryThe rest of the address.

When you choose an address from the list of suggestions, Inallow fills in the building number, the Zip code, the City, the Province/State and the Country by itself, and places the centre on the map. Next to the Address field a tick appears when the centre already has a location on the map, and a cross when it does not yet.

Name, Address, the building number, Zip code, City, Province/State and Country are required. If one is missing, the admin panel shows the Incomplete Form warning with the field still to be filled in.

Location and area on the map

Below the address there is a map. There are two ways to save the location:

  • With area (the default option): the centre is drawn as a circle with a 115-metre radius. Drag the circle to move it and drag its edge to make it bigger or smaller. You can also click on the map to place the centre at that point.
  • Location only: click the pin button on the map. The circle disappears and a marker you can drag remains. The centre keeps its position, but does not generate distance incidents. To go back to the area mode, click the button again; the circle comes back at 115 metres.

While the area is active, the window reminds you that clock-ins by this centre's employees made outside the area will be marked as incidents.

Click Create (or Modify if you are changing a centre) to save. Cancel closes the window without saving.

Clock-ins outside the centre

If a centre has a location and an area, Inallow calculates the straight-line distance between the place each employee of that centre clocks in from and the centre point of the circle. If the distance is greater than the radius:

  • The clock-in is still recorded; the incident does not stop anyone clocking in.
  • The clock-in is marked as an incident pending review, with the distance in metres.
  • You will see it in Incidents, where you can mark it as Justified or Unjustified.

The distance is not checked in these cases:

  • The employee has no centre assigned, or their centre has no area (location only mode).
  • The clock-in was made in Work from home mode.
  • The clock-in has no location, for example because the device did not send it.
  • On the employee's record, the Ignore incidents option is set to Yes. This option can only be changed when the employee has a centre assigned. See Employees.

Assign a centre to employees

The centre is assigned on each employee's record, in the Center field in Employees. Each employee can only have one centre. If you add employees with a CSV file, you can give the centre in the center column. See Create an employee.

Other uses of the centre

  • Public holidays: a public holiday with a centre only applies to the employees of that centre. See Public holidays.
  • Salto KS: clock-ins from a lock linked to a centre take the centre's coordinates. See Salto KS.

Delete a centre

Open the centre with Modify and click Delete. The employees who had that centre are left with no centre assigned. From then on the distance of their clock-ins is not checked and only the company-wide public holidays apply to them. Assign them another centre from Employees if they need one.
