Summary

Yearly totals month by month, by employee or by type, of hours worked, breaks, leave, overtime, compensatory time and absences.

The Summary brings together on one screen a year's totals, month by month: hours worked, breaks, leave, accepted overtime, compensatory time taken and days of absence. It lets you compare employees, see which months overtime or absences are concentrated in, and download the data to Excel.

To open it, click Analytics in the side menu and then Summary.

General controls

At the top you have the controls that affect every tab:

  • Year: use the arrows on either side of the year to change year.
  • Group by: click Employee to see one row per employee, or Type to see one row per project, reason or type, depending on the tab. It does not apply to the Compensatory time used tab, which is always by employee.
  • Filter employees: choose one or more employees to see only their data. If you do not choose any, everyone is shown.
  • Download: downloads the table of the tab you have open. See Download the data.

While the data is loading, the controls are disabled. In Hours worked loading can take a few seconds if there are many clock-ins; you will see messages such as "Analyzing Clock Ins.." and the number of clock-ins found.

Some details:

  • Pauses made and Work permit made only show employees who have time on a break or on leave that year.
  • Request for accepted hours adds up the hours as they were requested, without applying the type's multiplier. To see the hours that count towards the balance, use Compensatory time › Employee details.
  • Compensatory time used: click an employee's name to open their details in Compensatory time. This table also includes the hours taken back when overtime requests that had already been accepted are deleted.
  • Accepted absences counts days, not hours. Pending or rejected absences are not counted.

How to read the table

  • The first column is the employee (or the project, reason or type, if you group by Type).
  • Total is the sum for the year of that row.
  • There is one column per month, from January to December.
  • Below each column's name is the total of all the rows. That way you can see at a glance, for example, how much overtime was accepted in March across the whole company.
  • Hours are shown in hours:minutes format (for example, 07:30). In Accepted absences the figures are days.
  • A dash (-) means zero.
  • The table shows 10 rows per page; use the pagination at the bottom to see the rest. Click the name of the first column or Total to sort.

For example, in Request for accepted hours, grouping by Employee, Laura Gómez's row with a Total of 12:00 and 04:00 in March means that 12 hours of overtime were accepted for her during the year, 4 of them on days in March.

Download the data

Click Download and choose the format:

  • Excel (CSV separated by ',')
  • Excel (CSV separated by ';'): this is usually the option that opens correctly in Excel with Spanish regional settings.
  • Excel (CSV separated by tabs)
  • JSON

The tab you have open is downloaded, with all its rows (not just the visible page) and with the filters applied. In Compensatory time used all employees are always downloaded, even if you have used Filter employees. The file has one column for the name (Employee or Type), another for Total and one per month. It is saved as "fichajes_reports.csv" or "fichajes_reports.json".

For official or more detailed reports (working time record, absences, excess hours…), use Dossiers.
