Presence
See who is working right now, the clock-in timeline for each day and the hours for the week.
The Presence section answers two questions: who is working right now and how each person's working day has gone. It has two views, which you switch between with the buttons in the header:
- Presence: a timeline of one day, hour by hour, for all your staff.
- Currently: each employee's status right now and weekly summaries.
It is visible to administrators with permission to view clock-ins and to supervisors. Supervisors see the people in their departments and themselves. If you have chosen a department on the top bar, you will only see the people in that department.
Presence is read-only: to correct a clock-in go to Clock-ins.
Presence view (day timeline)
It shows one row per employee and one column for each hour of the day, from 0 to 23, plus a Total column.
Header controls:
- Refresh: reloads the data.
- Search...: type part of the name to filter the list.
- Date: choose the day you want to see. By default, today. Future days do not show clock-ins.
What you see on each row:
- Name (surnames, first name and alias, if they have one). The background of the name shows what they are doing now: green if they are working, yellow if they are on a break and blue if they are on leave.
- Timetable slots: the hours when the employee should be working according to their timetable. Click a time slot to see Range of hours, with the Time zone, the Start and the Final.
- Clock-ins: one bar for each stretch, green for work, yellow for a break and blue for leave. Click a bar to see the Entry, the Exit (or "Clock in progress"), the Time and the Project or the Reason.
- Absence: if the employee has an accepted absence that day, a mark in the colour of the absence type appears. Click it to see what type it is.
- Current time: if you are looking at today, a vertical line marks the current time.
- Total: time worked that day. It adds up the work stretches and the breaks that the employee's collective agreement counts as work.
Currently view
Click Currently in the header. This view refreshes by itself every 30 seconds.
List of employees
Each row shows:
- The employee's name.
- A status icon (see the table below).
- A progress bar with the time worked today against the time their timetable sets for today. If the employee has no timetable, 8 hours is used as the reference.
- A description: the project or reason of the current stretch or of the last one today, with its duration (for example, "Reparto Norte:02h 15m"), or the absence type if they are absent today and have not clocked in. If they have not clocked in today you will see "-".
| Status (icon name) | When it appears |
|---|---|
| Working | They have an open work clock-in. |
| Pause | They have an open break or leave. |
| Request for hours | They are working and have already gone over the time in today's timetable. |
| Already worked today | They clocked in today and have already finished. |
| Not working today | They have not clocked in today. |
The filter icons above the list show the name of each status when you hover over them.
Filters:
- Select employees: choose one or more people to see only them.
- Status icons: above the list there is one icon for each status. Click it to hide or show the people in that status. Dimmed icons are hidden.
Weekly summaries
To the left of the list there are cards with bar charts by day of the week. There are three types:
- Worked hours: the staff's working hours each day of the week and the total.
- Pauses: hours of breaks and leave each day and the total.
- Extra Hours: accepted overtime each day and the total (see Request for hours).
Each card shows the week it covers ("Week 42 - 2026"). Use the arrows above and below the card to move to the next or previous week.
To choose which cards you see, click the settings button in the header. Change summary column opens:
- Add Card: adds a new card.
- For each card you can choose the type (work, breaks or excess), change the Week and the Year with the arrows, or click the calendar icon (Set current week) so it always shows the current week.
- Drag the cards to reorder them and click the × to remove one.
- Click Save.
