Reports
Filter the clock-ins of a period, group them by day, employee, project or reason and download them as CSV or JSON.
Reports shows the list of clock-ins for a period with the filters and grouping you choose, the total time of each group and a breakdown chart. It is the quickest way to get clock-ins into a spreadsheet.
It opens from Analytics › Reports. Administrators with permission to generate reports and supervisors can see it; supervisors only see the people in their departments and themselves.
Filtering
The first bar, Filter, has these fields:
- Date range: by default, the last 7 days up to today.
- Select employee: to see only one person.
- Select center: only the clock-ins made while the employee had that centre assigned.
- Select types: Entry (work), Pause and Work permit. All three are selected by default.
- Select project: appears if you have kept the Entry type.
- Select reason: appears if you have kept Pause or Work permit.
Project and reason are mutually exclusive: if you choose one, the other is disabled.
Grouping
In the second bar, Group, choose how you want to see the results:
- Group by day
- Group by week
- Group by month
- Group by year
- Group by employee (the default option)
- Group by project
- Group by reason
- No groups
Click Search to apply the filters and the grouping. While it loads, the admin panel shows how many clock-ins it has found and the estimated time.
Groupings by date use the day of the start. In the groupings by project and by reason, clock-ins that have none appear under Without project or Without reason.
Reading the results
With grouping, each group is a row with:
- A counter with the number of clock-ins in the group. Click it to expand the clock-ins and click again to collapse them.
- The group name (the date, the employee, the project or the reason).
- The group's total time.
On the right there is a pie chart with the split of time between groups. Hover over each slice to see its name and its time.
Without grouping, you will see the list of clock-ins directly.
Each clock-in shows:
- A status icon: completed or in progress, and whether it is work, a break or leave.
- The date and time of the start and the end. If it has no end you will see "Not determined".
- The project or the reason.
- The duration, or "Open" if it is still in progress.
If there are no clock-ins with those filters you will see "No entries found".
Downloading
Click Download and choose the format:
- Excel (CSV separated by ',')
- Excel (CSV separated by ';'): this is usually the one that opens correctly in Excel with Spanish regional settings.
- Excel (CSV separated by tabs)
- JSON: for importing into other programs.
The file is called fichajes_reports.csv (or .json) and contains the clock-ins of the current search. The CSV has one row per clock-in with these columns:
| Column | Content |
|---|---|
| User | First name and surnames. |
| Type | Entry (work), Pause or Work permit. |
| Entry | Date and time of the start, in the company's time zone. |
| Exit | Date and time of the end; empty if it is still in progress. |
| Time | Length of the period. |
| Project | Project of the work clock-in. |
| Reason | Reason for the break or the leave. |
| Work from home | Yes or No. |
The headers come out in the language you have chosen in the admin panel.
