Incidents
Review clock-ins made outside the work centre's area and mark them as justified or unjustified.
The Incidents section gathers the clock-ins that were made far from the employee's work centre and that nobody has reviewed yet. Its title on screen is Incidents by distance to the center.
Only administrators with permission to manage clock-ins can see it. To mark an incident as reviewed you also need permission to edit clock-ins.
When an incident is created
Inallow compares the location of each start and each end with the area of the centre the employee has assigned. An incident is created when all these conditions are met:
- The employee has a centre assigned in their Employees record.
- That centre has a location and a radius set up in Settings › Centers.
- The clock-in has coordinates, that is, the phone or the browser sent the location.
- The clock-in is not marked as remote work (Work-from-home, in the app or in the admin panel).
- The employee does not have the Ignore incidents option turned on in their record.
- The distance between the clock-in point and the centre is greater than the centre's radius.
The incident is calculated when the start or the end is recorded. If you later change the clock-in's coordinates or the centre's radius, incidents already created do not change.
Reviewing incidents
When you open the section you will see the pending incidents of the last 7 days on a map.
Header controls:
- Date range: choose the period. The list updates by itself when you change it.
- Select employee: to see only one person's incidents.
- See list / See map: switches between the two views.
Map view
- Each incident is a red marker at the point where the clock-in was made. Click it to see the employee's name, the date and time and the centre they have assigned. Click the warning icon next to the name to open the incident.
- Each centre with a location and radius appears as a green circle marking its area. Hover over it to see its name.
List view
One row for each start or end with an incident:
- Employee.
- Date: date and time of the clock-in.
- Type: an icon showing whether it is a work start, the start of a break or of a leave, or an end.
- Center: the centre the employee had assigned when they clocked in.
- Distance to center, in metres.
- Modify (the pencil): opens the incident.
If there are no incidents in the period you will see "No entries found".
Justifying an incident
Open the incident
Click Modify in the list or the warning icon on the map. The Clock incident window opens with the Type, the Date, the Employee, the Project or the Reason, the Center and a map with the clock-in point.
Read the message
You will see a message saying that this clock-in was made outside (N meters) the centre the employee had assigned and is pending review.
Decide
Click Justified if there is a reason for the clock-in outside the centre (a visit to a customer, a meeting) or Unjustified if there is not.
You will see the message "The justification for the clock entry has been updated" and the incident disappears from the list, from the map and from the Last incidents block on Start.
Justifying an incident or not does not change the clock-in: its hours count the same in Presence, Reports and Dossiers. If the clock-in's time or type is wrong, correct it in Clock-ins. The employee gets no message when you justify their clock-in or not.
Other clock-in problems
This section only covers clock-ins made far from the centre. Other cases are reviewed elsewhere:
- Forgotten clock-outs (clock-ins still open): find them in Clock-ins, where they appear without an end time, or in the Currently view of Presence. To correct them, follow Correct a clock-in.
- Late arrivals or early departures: use the Punctuality report in Dossiers.
- Hours outside the timetable: use the Out of hours or Excess hours reports in Dossiers.
