Approve or reject overtime
Review your team's overtime requests, accept them to add them to their balance or reject them, and record overtime from the admin panel.
- For Administrators · Supervisors
- In Panel · Clock-in app
When an employee requests overtime from the app, the request stays pending until an administrator or their supervisor accepts or rejects it. Once accepted, the hours are added to the employee's balance so they can take them as time off.
Before you start
- You need to be an administrator with permission to manage overtime requests, or the supervisor of the employee's department. A supervisor cannot respond to their own requests.
- Check the Multiplier of each type in Overtime types: it shows how many hours of balance each accepted hour generates (for example, 1.5 for hours on a public holiday).
Steps
Open the pending requests
In the admin panel, click Request for hours in the side menu. The Pending tab opens.
By default you see requests for days from 7 days ago to 20 days ahead. If you are looking for an older one, widen the date range. The Requests for hours card on Start has all the pending ones, with no date limit.
Review the request
Each card shows the employee, the type, the description, the Requested time and the Requested day. If you want to check it against that day's clock-ins, open the Calendar, choose the employee and click the day: you will see their clock-in timeline.
Accept or reject
Click Accept or Reject on the card and confirm with Yes.
Record overtime from the admin panel
If the employee has not made the request from the app, you can record it yourself:
Open the window
In Request for hours, click Add request for hours (the button with the plus sign).
Fill in the details
Choose the Employee and the Type of time request, the day the hours were worked and the Number of hours (hours and minutes). If you like, add a Description.
Create the request
Click Create. The request is saved as accepted and the hours are added to the employee's balance.
What happens next
- When you accept, the employee's balance in Compensatory time goes up by the accepted hours multiplied by the type's Multiplier. For example, 2 hours of a type with a multiplier of 1.5 add 3 hours to the balance.
- When you reject, the balance does not change.
- The request moves to Accepted or Rejected, with your name as Supervisor, and counts in the Summary tab if it is accepted.
- If you respond or record it from the admin panel as an administrator, the employee receives a notification in the app ("Overtime request accepted!" or "Overtime request rejected"). If you respond as a supervisor, they do not receive a notification, but they can see the status in the app.
- While there are pending requests, administrators and supervisors who have it turned on receive the email "Extra hours pending approval" on the days of the week they chose. It is turned on per person in Inallow Admin: see Email alerts for pending requests.
