Absences
The form for requesting vacation days and other absences from the app, its rules and the status of each request.
From the app you request vacation days and any other absence type your company has set up (personal matters, doctor's appointment, etc.). Each request stays pending until an administrator or your department supervisor accepts or rejects it.
For the step-by-step, see Request vacation days.
Where to request it
- From the menu: New request › Absence.
- From Calendar: the + button › Absence.
The form
New absence opens with these fields:
| Field | What to enter |
|---|---|
| Type of absence | The reason: vacation, personal matters… Your company defines the list. Required. |
| One day / Days | Choose whether you are requesting a single day or a period. |
| Select a date | With One day: the day of the absence. |
| Start date and End date | With Days: the first and last day of the period. |
| Include weekends | With Days: turn it on if you also want to request the Saturdays and Sundays in the period. It is off by default. |
| Remarks (optional) | A comment for whoever reviews the request. |
When you tap Request you will see Request sent (or Requests sent if you asked for several days).
Rules
- Each day is a request. If you ask for several days, the app creates one request per day. The lists show them together, but whoever reviews them can accept or reject each day separately.
- One day, one absence. You cannot have two pending or accepted absences on the same day. If you try, you will see There is an absence for that day.
- Weekends. If you do not turn on Include weekends, the Saturdays and Sundays in the period are not requested. If you only pick weekend days, you will see Only non-working days have been selected.
- Public holidays. If the absence type deducts vacation days and one of the days is a public holiday at your centre, that day is not created, even though the app shows Request sent: you do not use up a vacation day on a public holiday.
- If a day fails, you will see Some absences could not be created, please check the calendar. Check in Calendar which days were created.
- Required fields. Without a type or a date you will see Incomplete Form.
Statuses
| Status | What it means |
|---|---|
| Pending | Sent and waiting for an answer. It already counts towards your Used days if the type deducts vacation days. |
| Accepted | Approved. It appears on your calendar. |
| Rejected | Turned down. It does not deduct days and does not appear on the month's calendar. |
If an administrator accepts or rejects your request, you get a notification on your phone: Absence request accepted! or Request for absence rejected. If your supervisor answers, no notification is sent. See Notifications.
Your requests and the summary of your days are in Calendar, on the Absences tab.
Cancel a request
You can only cancel pending requests:
- Go to Calendar › Absences.
- Under Pending, tap the bin icon on the request.
- Confirm with Accept. If the request covers several days, they are all cancelled (Remove absences).
You will see Absence eliminated or Absences eliminated. If it has already been accepted or rejected, it cannot be changed: ask the administrator or your supervisor to delete it.
Who reviews it
- Administrators, from the admin panel. See Approve or reject vacation days.
- Your department supervisor, from the admin panel or from the Team option in the app. See Team.
From Team, a supervisor cannot accept or reject their own requests.
