Correct a clock-in
Fix a forgotten clock-out, a wrong time, a missing clock-in or an extra one from the admin panel.
- For Administrators
- In Panel
Use this guide when an employee forgot to clock out or clock in, clocked in at the wrong time, chose the wrong project or reason, or recorded a clock-in they should not have.
Before you start
- You need to log in to the admin panel as an administrator with permission to manage clock-ins. Supervisors do not have access to Clock ins: if they spot a mistake, they must ask an administrator to correct it.
- Employees cannot correct their clock-ins from the app or send a correction request. If an employee sees a mistake in My Clock-in´s, they must tell their supervisor or HR through the company's usual channel.
- Have the real times to hand: the day, the start time, the end time and, if there were breaks, when they started and ended.
Steps
First find the clock-in:
Open Clock ins
In the side menu, click Clock ins.
Find the day and the person
Choose the Date range that includes the day of the mistake, select the employee in Select employee and click Search. A clock-in that was left open appears with no Exit time in any search after its start.
Then follow the case that applies:
The employee clocked in but did not clock out, so the period is still open.
Open the clock-in
Click Modify (the pencil) on the row with no exit.
Close the period
Turn off the Active switch. The Exit field appears with the current time.
Enter the real time
Click the Exit field and choose the date and time they finished. Check the Time elapsed.
Save
Click Modify. You will see "Clock-in modified".
The clock-in exists, but the time, type, project or reason is wrong.
Open the clock-in
Click Modify (the pencil) on the clock-in's row.
Correct the details
Change the Entry, the Exit, the Type, the Project or the Reason, or tick Work-from-home if it applies. If the employee arrived earlier than they clocked in, move the Entry time of the day's first period earlier.
Save
Click Modify. You will see "Clock-in modified".
The employee worked but did not clock in at all, or a whole period is missing.
Create the clock-in
Click Create (the + in the list header).
Fill in the details
Choose the Employee, the Type and the Project or the Reason. Enter the Entry and the Exit. If the employee is still working now, turn on Active to leave the period open.
Save
Click Create. You will see "Clock-in created".
The employee took a break (for example, from 14:00 to 15:00) during a work period from 08:00 to 17:00 without clocking it. Because two periods cannot overlap, you have to split the work period in two.
Shorten the work period
Open the work period with Modify, change the Exit to the time the break started (14:00) and click Modify.
Create the break
Click Create. Choose the employee, the Type Pause and the Reason. Set the Entry to 14:00 and the Exit to 15:00. Click Create.
Create the second work period
Click Create again. Choose the employee, the Type Entry and the same Project. Set the Entry to 15:00 and the Exit to 17:00 (or turn on Active if they are still working). Click Create.
The employee clocked the same thing twice or recorded a period that does not belong.
Open the clock-in
Click Modify (the pencil) on the extra row.
Delete it
Click Delete. You will see "Clock-in deleted".
What happens next
- The change applies straight away in Clock ins, Presence, Reports and in the Dossiers reports you generate from now on. Reports you have already downloaded do not change: if you correct a closed month, download that month's Official report again.
- The employee does not receive any alert. They will see the corrected clock-in in My Clock-in´s in the app.
- Clock-ins and clock-outs you add from the admin panel are marked with the source "Source: Panel". If you only change the time of a clock-in or clock-out that already existed, it keeps its source.
- The admin panel does not keep a visible history of corrections. If your company needs to justify the changes, keep a note yourself.
