Inallow Visits app

Inallow Visits is the app you install on a tablet at reception. With it, people arriving at your premises register themselves, without anyone having to do it for them from the Visits panel: they identify themselves, have the privacy policy to hand, sign the safety rules and, if they are coming to see someone, Inallow lets the host know.

Everything recorded on the tablet appears in Log in the Visits panel.

The app is available for Android tablets and iPad:

• Android: Inallow Visits on Google Play.
• iPad: Inallow Visits on the App Store.

You will also find the links to all the Inallow apps at apps.inallow.io.

The tablet does not log in with an employee's user, but with a user of its own with the Visits License profile. If you do not have that user's login details, ask Inallow for them.

For the tablet to work properly, check:

1. That you have chosen the area codes visitors can use when they register. Without any, they will not be able to register.
2. That you have uploaded the current privacy policy and safety rules.
3. That the employees who receive visits are marked as hosts and have their phone number in their record.
4. That the employees of external companies have been added, with their documentation up to date.

A visitor arriving at reception:

1. Identifies themselves with their ID number. If they received an access code by email, the QR code contains that same number.
2. Registers, if it is their first visit: they enter their details and phone number. For the phone number they can only choose one of the area codes you have selected. They are saved in Visitors.
3. Signs the visitor safety rules, if there is a current version. Unless you have allowed signing without reading, they have to open the documents before signing. The signature is saved with the record.
4. Chooses their host, if they are coming to see someone. Only employees who are allowed to receive visits appear.
5. Registers their arrival. When they leave, they go back to the tablet and register their departure.

When the visitor chooses a host, Inallow phones the host to let them know and sends the visitor an SMS with the reply. All the details are in How the host is notified.

External company employeesCopy link

External company employees cannot register on the tablet: they have to be created in External companies. When they arrive:

1. They identify themselves with their ID number or their access code.
2. They sign the service safety rules, if there is a current version.
3. They register their arrival and, when they leave, their departure.

If the app denies access to an employee because of incorrect documentation, Inallow sends an SMS to the people at your company set up to receive Visits alerts: "Access denied to [name] ([company]). Reason: Incorrect documentation". To find out who receives these alerts at your company, check with Inallow.
