Arrivals and departures log
See who has come in and gone out of your premises and manually register arrivals and departures of visitors and services.
The Log screen brings together all the arrivals and departures of people from outside your company, both those they record themselves in the Inallow Visits app and those reception records from the Visits panel. It is the screen that opens when you log in to the Visits panel.
To open it, click Log in the Visits panel's side menu.
The Services and Visits tabs
Records are split into two tabs:
- Services: arrivals and departures of the employees of external companies.
- Visits: arrivals and departures of visitors.
| Tab | Columns |
|---|---|
| Services | Employee (ID number, last name and first name), Company, Type (Entry or Exit) and Date (date and time). |
| Visits | Visitor (ID number, last name and first name), Host, Company (the visitor's company), Type and Date. |
Click a column heading to sort the table. 8 records are shown per page; the total appears at the bottom, next to Records.
Filter the records
- Dates: the date picker on the right sets the period shown. When you open it, the Visits panel shows the last 7 days. Choose another start and end date to change it.
- Search employee...: type part of the ID number, the first name or the last name. In Services you can also search by company name.
See the details of a record
Click a row to open the Details window, which is read-only:
- For a service: Company, Employee, Observations and Date.
- For a visit: Visitor, Host, Company, Observations and Date.
If the person signed the safety rules when registering on the tablet, the details also show Signed safety rules, with the name of the signed version and the image of the signature. Right after registering, the message "Signature is being processed for display..." may appear; the image appears as soon as Inallow finishes processing it.
Records cannot be changed or deleted from the Visits panel.
Register an arrival
Use Register entry when someone arrives and does not register themselves on the tablet.
Open the window
Click Register entry. The window opens on the Service or Visit tab depending on which tab you had open on the screen.
Choose the person
- In Service: if you like, first choose the Company to narrow the search. Then choose the Employee (required).
- In Visit: choose the Visitor (required) and, if they are coming to see someone, the Host.
In the search boxes type at least 3 characters. Only people who are currently out appear: anyone who already has an arrival with no departure is not on the list.
Add observations
If you like, type a note in Observations (for example, the reason for the visit). The Date is the current time and cannot be changed.
Save
Click Create. You will see the message "Registered entry".
If you click Create without choosing anyone, the Visits panel warns you with "User is missing".
Registering a visit from the Visits panel does not notify the host. The call and the SMS messages to the host only happen when the visitor registers in the Inallow Visits app. See Hosts.
Register departures
Register Exit lets you check several people out at once, for example when closing reception.
- Click Register Exit. The window shows everyone who is inside right now, visitors and services together, with their Name, the Host (for a visitor) or the company (for a service), the Type (Visitor or Employee) and the Entry time.
- Tick the box in the Exit column for each person who is leaving. With Select all and Deselect all you tick or untick the whole list.
- Click Apply.
All the ticked departures are recorded with the current time. For a visitor, the departure keeps the host and the observations from their arrival. If nobody is inside, the window says "No visitors to the company.".
Register by ID number
This is the quickest way to register someone standing in front of you: with their ID number, the Visits panel detects whether they are in or out and offers you the right action.
Look up the person
Type the number in the ID field, top right, and press Enter or the button next to it ("Register exit/entry via ID").
Choose the type, if needed
If that number belongs to both a visitor and an external company employee, choose Visitor or Service. If it does not belong to anyone, you will see "The ID provided does not belong to any visitor or services": add the visitor or the external company employee before registering them.
Check their details
The window shows the person's name and:
- ID.
- Company (for a service) or Company (for a visitor; "No company" if they have none).
- Safety rules: Signed or Unsigned. It shows whether they have signed the current version of the safety rules. If there is no current rule, everyone counts as signed.
- Documentation (services only): Up to date, Missing complementary documentation or Missing mandatory documentation. See External company documentation.
- Last visit: the date and time of their last record, or Never.
Register the arrival or departure
- If the person is inside, click Register exit.
- If they are out, a form appears with the Date (the current time), Observations and, for a visitor, the Host. Fill it in and click Register entry.
