Getting set up
An ordered list of what you need to set up to start using Inallow at your company, from work centres to tablets.
- For General Administrator
- In Panel · Inallow Admin
This list is for the person setting up Inallow at the company. Follow the order: each step uses data you prepared in the earlier ones. For example, when you create an employee you choose their centre, collective agreement and timetable, so it is best to have them created first.
Before you start
- You need an account with the General administrator rank. It is the account your company was registered in Inallow with. If you do not know how to log in, see Access to Inallow.
- Almost everything is done in the admin panel, under Settings. Employee and permission management is done in Inallow Admin, which you reach from the apps button in the top bar (the nine dots) › MANAGEMENT › Admin.
- The company name, its time zone and what it has subscribed to are recorded by the Inallow team. If any of those details is wrong, contact Inallow.
List of steps
Create the work centres
In Settings › Centers, create one centre for each site, office, shop or warehouse (for example, "Bilbao warehouse"). Enter its address and the area on the map: clock-ins by that centre's employees made outside the area will be flagged as an incident.
More information: Centres.
Create the departments
In Settings › Departments, create your company's teams (for example, "Logistics" or "Administration"). Departments are used to filter the admin panel and to give each team a supervisor who approves their requests. You will assign the members in step 10, once the employees exist.
More information: Departments.
Set up the timetables
In Settings › Timetable, create the company's working timetables (split day, morning shift, summer…).
More information: Timetables and Assign a timetable.
Set up the public holidays
In Settings › Holidays, add the national, regional and local public holidays that apply to your centres.
More information: Set up public holidays and Public holidays.
Create the collective agreements
In Settings › Agreements, create one entry for each collective agreement you apply. In each one you set, among other details, the Annual hours and the Vacations days. If any break counts as time worked, first create its reason in Settings › Reasons, because the collective agreement uses it.
More information: Collective agreements.
Create the absence types
In Settings › Absences, create the absence types your employees will be able to request or have (vacation, personal days, sick leave…). Inallow does not come with any already created.
More information: Absence types.
Create the overtime request types
In Settings › Request for hours, set the types of overtime employees will be able to request.
More information: Overtime types.
Adjust the additional options (optional)
Depending on how you work, also check in Settings:
- Reasons: the break or exit reasons the employee chooses when clocking in. See Reasons.
- Projects: if you want employees to record their time against projects. See Projects.
- Allowed IPs: if you only want to allow clock-ins from the office network. See IP filtering.
- Time accuracy: how far the phone's time can be off when clocking in. See Time accuracy.
Add the employees
Create each employee with their email, initial password, centre, collective agreement and timetable. If you have many, you can upload them all at once with a CSV file from Inallow Admin.
Step by step: Create an employee.
Assign each department's members and supervisors
Go back to Settings › Departments, click Manage members on each department and tick who is a Member and who is a Supervisor. Supervisors will be able to approve their team's vacation days and overtime.
More information: Department supervisors.
Give access to other administrators
If other people are going to manage Inallow (HR, reception…), give them permissions in Inallow Admin › Permissions: Clocks for time tracking, Visits for visits or Admin for everything.
More information: Change a user's rank.
Prepare the ways of clocking in
Decide where each employee will clock in from and get it ready:
- Phone or browser: each employee logs in to the clock-in app or to webapp.clocks.inallow.io with their email and password. Send them the Employee quick guide.
- Shared tablet: create the licence in Tablets and install the app on the tablet. See Install a clock-in tablet and Tablets.
- Salto KS locks: if your company uses Salto KS, connect the integration. See Salto KS.
By default each employee can clock in from every platform. You can limit them per person in Inallow Admin (see Create an employee).
Run a test
Ask an employee to clock in and check that it appears in Presence and in Clock-ins. Then make a test vacation request and approve it from Absences.
